Privacy Policy

Team Leaderboard is a goals, deals and leaderboard app for real estate teams and brokerages, built by a small independent team in Toronto, Canada. This policy explains what we collect, why we collect it, who can see it, and how to get it deleted.
We handle personal information under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Who controls the data
When your team signs up, your team is the owner of the deal, goal and member records inside it. We hold and process that information on your team's behalf, and we use it to run the service — nothing else. We do not sell personal information, and we do not use your data to advertise to you or anyone else.
What we collect
Account details. Your name, email address, password (stored hashed, never in plain text), the team and office you belong to, your role, and — if you turn it on — two-factor authentication settings. If you sign in with Google, we receive your name, email address and profile picture from Google.
Deal and commission records your team enters. Addresses, sale or lease prices, dates, deal status, commission splits, overrides, referrals, HST amounts, and the names of clients your team chooses to record. You decide what goes in; we only store what your team types or imports.
Goals and targets. Quarterly and annual GCI goals, goal history, split plans and cap tracking.
Technical data. Session records so you stay signed in, IP address and browser or device type, and error reports when something on the website breaks. The iPhone app does not include any analytics, advertising or crash-reporting tools.
Follow Up Boss, if your team connects it. When an admin links your team's Follow Up Boss account, Follow Up Boss tells us which user is viewing the leaderboard inside it (their name and email) so we can show them the right team. We don't copy your Follow Up Boss contacts or leads.
Messages you send us. If you use the contact form or email us, we keep the message and your reply address so we can answer.
We do not use analytics, advertising or tracking cookies, and we do not track you across other apps or websites. The only cookies we set are the ones that keep you signed in and remember your light or dark theme.
We do not collect payment information. Team Leaderboard is free while it is in beta, and there is nothing to buy in the app or on this site.
Why we collect it
- To create and secure your account and keep you signed in
- To show your deals, goals, leaderboard and reports, and to calculate commission
- To send the emails the service needs to work: verification, password resets, team invitations and notifications you have opted into
- To find and fix crashes and bugs
- To answer you when you contact us
Who can see what inside a team
Team Leaderboard is built so members do not see each other's money or clients.
- Members see their own deals, goals and commission in full. On the leaderboard they see other members' ranking figures — GCI, net, volume, deal counts and percentage of goal — according to how their admin has configured visibility. Members never see another member's commission breakdown or client names.
- Admins and owners of a team can see the team's deals, commission detail and goals, and can set who appears on the leaderboard (shown, hidden or excluded).
- We can access your data only when we need to: to operate the service, investigate a fault, or when we are legally required to.
Service providers
We use a small number of processors, each of which handles data on our instructions:

This means your information may be stored or processed outside Canada, and may be subject to the laws of those countries. We hold each provider to a contract requiring them to protect it.
How long we keep it
We keep your account and your team's records for as long as the account is open. When you delete your account, we delete your personal profile and sign-in data. Deal records that belong to your team stay with the team unless the team is deleted or an admin removes them. When a team is deleted, we remove its data from our systems within 30 days, apart from backups, which roll off within 90 days. Error reports are kept for 90 days.
Deleting your account
You can delete your account yourself, in the app, under Settings → Profile → Delete Account in the iPhone app, or in account settings on the web. No email to us is needed. If you are the sole owner of a team, transfer ownership or delete the team first.
Your rights
Under PIPEDA you can ask us what personal information we hold about you, ask for a copy of it, ask us to correct anything that is wrong, and withdraw consent for uses that are not required to run the service. Write to [email protected] and we will respond within 30 days. If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada.
Security
Traffic is encrypted in transit with TLS. Passwords are hashed. Two-factor authentication and passkeys are available on every account. Access to production systems is limited to the people who need it. No system is perfect; if we ever have a breach that creates a real risk of significant harm, we will tell you and the Privacy Commissioner as the law requires.
Children
Team Leaderboard is a tool for working real estate professionals. It is not intended for anyone under 18, and we do not knowingly collect information from children.
Changes
If we change this policy we will update the date at the top, and for anything significant we will tell you by email or in the app before it takes effect.
